The FMS (Fleet Management System) Mobile Application. Let me explain the details of each section
Mark Attendance:
The Mark Attendance feature enables drivers to log their daily attendance directly through the FMS mobile application. This digital system replaces manual registers, ensuring accurate and real-time attendance tracking.
Supervisors can monitor each driver’s duty hours, check for late arrivals, early logouts, or absences, and maintain proper workforce discipline. Attendance records are securely stored in the system, making it easy to generate reports for payroll, compliance, and performance evaluation.
Leave Application
The Leave Application feature allows drivers to easily submit their leave requests directly through the FMS mobile app. This eliminates the need for manual paperwork or phone calls, ensuring a smooth and transparent process.
Supervisors receive instant notifications of new leave requests and can approve or reject them within the system. This ensures proper planning of duty rosters, prevents sudden staff shortages, and maintains smooth fleet operations.
All approved and rejected leaves are digitally recorded for future reference, helping in attendance management, payroll processing, and compliance tracking.
Driver Expense
The Driver Expense feature allows drivers to record their personal work-related expenses such as food, toll charges, lodging, parking fees, and other trip-related costs directly in the app.
By submitting expenses digitally, drivers no longer need to maintain paper receipts or manual logs. All entries are securely stored and can be reviewed by supervisors or the accounts team.
This ensures:
Transparency in expense reporting.
Quick verification of claims with digital proof (receipts/photos can be attached).
Faster reimbursement to drivers, reducing delays and disputes.
Accurate tracking of overall trip expenses for better financial planning.
Vehicle Expense
The Vehicle Expense feature allows drivers or supervisors to log all vehicle-related expenses such as:
Fuel costs (diesel, petrol, CNG, etc.)
Servicing & repairs
Spare parts replacement
Tyre changes & maintenance
Insurance & other compliance costs
By recording these details digitally, the system provides management with a clear breakdown of operational costs per vehicle.
Clicking on the ‘plus button’ enables you to add details
of the new expense done. The details include date, shop
name where the expense is done, amount of the
expense, payment mode – cash/card/UPI selection,
location of the shop.
The upload receipt option enables you to upload
receipts from the gallery or the driver can take photos
from the mobile camera.
Detailed Description of the expense can be added by
the driver in the description section.
Hit the Submit button and it’s done!
Document Locker
The Document Locker feature provides a secure digital storage space for all critical driver and vehicle documents. These include:
Driver’s License
Registration Certificate (RC Book)
Insurance Papers
Pollution Under Control (PUC) Certificate
Road Permits & Other Compliance Documents
All documents can be uploaded and accessed through the FMS system anytime, anywhere. This ensures that drivers and supervisors always have quick access to necessary papers, especially during roadside inspections, compliance checks, or emergencies.
Vehicle Maintenance
The Vehicle Maintenance feature helps track both regular servicing and emergency repairs of every vehicle in the fleet.It maintains a complete service history for each vehicle, including:
Routine servicing records (oil change, filter replacement, etc.)
Emergency repairs and breakdown details
Upcoming service schedules with reminders
Spare parts replacement logs
Workshop/vendor details
