About FMS Application

Driver Expenses

The Driver Expenses module helps Admin / Fleet Manager monitor, record, and control all the costs incurred by drivers during trips. This ensures transparent accounting and better cost management.

  1. Expense Recording

    • Drivers can submit expense details (fuel bills, toll receipts, food/lodging, repairs, etc.).

    • Admin can approve, reject, or modify entries.

  2. Expense Categories

    • Fuel Expenses (when fuel is purchased by the driver).

    • Toll & Parking Charges.

    • Food & Accommodation.

    • Maintenance/Repairs during trips.

    • Miscellaneous costs (any other unexpected expenses).

  3. Approval Workflow

    • Driver → Submits expenses.

    • Admin → Reviews & Approves/Rejects.

    • Approved expenses → Added to trip cost report.

  4. Integration with Trips

    • Each expense is linked to a specific trip / sub-trip.

    • Helps calculate actual trip profitability vs budgeted cost

Vehicle Expenses

The Vehicle Expenses module helps the Admin / Fleet Manager track and manage all costs directly related to each vehicle in the fleet. Unlike Driver Expenses (which are trip-based and driver-logged), Vehicle Expenses are asset-based and tied to the vehicle lifecycle.

    • Insurance Premiums (annual/quarterly payments).

  • Recurring vs One-Time Expenses

    • Recurring: insurance, permits, taxes, AMC service contracts.

Driver Attendance System

  1.  Driver Check-in / Check-out
    • Drivers mark their attendance via the FMS app.

    • They can record Start of Duty (Check-in) and End of Duty (Check-out).

  2. Supervisor Approval

    • The Supervisor verifies and approves attendance.

    • Prevents fake or unauthorized check-ins.

    • Supervisor can reject or modify attendance records in case of errors.

  3. Shift Management

    • Admin can assign shifts, duty hours, or trip schedules.

    • Supervisor ensures drivers follow assigned duty timings.

  4. Leave / Absence Tracking

    • Drivers can request leave through the system.

    • Supervisor/Manager decides whether to approve/reject leave.
